Easetech

Terms and Conditions

Last updated: 11 October 2026

Important: These Terms govern your use of the public-facing website located at easetech.co.za and any subdomains (the “Website”), as well as login-based areas and tools accessed via the Website, including the wayleave and AOI portals (collectively, the “Platform”). If you are party to a separate signed agreement with Pritster Holdings (Pty) Ltd (for example, a software licence, maintenance and support agreement) (a “Master Agreement”), that Master Agreement will prevail to the extent of any conflict with these Terms.

1. Who we are & how to contact us

The Website and Platform are operated by Pritster Holdings (Pty) Ltd (trading as Easetech) (“Service Provider”, “we”, “us”, “our”), a company registered in South Africa (registration number 2017/033918/07).

  • Support & legal notices: support@easetech.co.za
  • Telephone: (010) 745-4941
  • WhatsApp: +27 82 699 6888
  • Address: 7 Fulham Road, Bakoven, Western Cape, 8005, South Africa

2. Acceptance of these Terms

By accessing, browsing or using the Website or Platform in any way, you agree to be bound by these Terms and by any policies referenced herein, including our Privacy Policy. If you do not agree, you must not use the Website or Platform.

In addition, before you can Register with email and password or Sign up with Google, you must tick that you agree with these Terms and the Privacy Policy. The Google button is disabled until you do. That tick is required for account creation and is separate from any later marketing opt-out (see the Privacy Policy).

You represent that you have the legal capacity to enter into these Terms, that you are 18 years of age or older, and where you act on behalf of a company or other entity, that you are authorised to bind that entity. Where the user is an entity, “you” / “your” includes its Authorised Users.

3. Definitions

Application: an individual wayleave (or, where applicable, AOI) application record created and/or processed through the Platform, whether or not later approved, rejected or withdrawn.

Application Created: the point at which an Application is first generated and saved within the Platform by you or on your behalf.

Authorised Users: users who are authorised to use the Platform on your behalf.

Outputs: any data, lists, notices, forms, reports, maps, documents, recommendations or other results generated, exported or displayed by or via the Platform.

Services: the Website, Platform and related online tools, content and support we provide through or in connection with the Website / Platform.

Personal Information: has the meaning given in the Protection of Personal Information Act, 4 of 2013 (POPIA).

4. Changes to these Terms

We may update these Terms from time to time. The updated version will be indicated by a revised “Last updated” date and will be effective when posted. If changes materially affect your rights or obligations, where practicable we will give reasonable notice via the Website or email to account holders. Your continued use of the Website / Platform after the effective date constitutes acceptance of the updated Terms.

5. Access to the Website and Platform

5.1 Availability

The Website and Platform are provided on an “as is” and “as available” basis. We do not warrant uninterrupted access, error-free operation, or that defects will be corrected. We may suspend, withdraw or restrict availability for business and operational reasons (for example maintenance, security or upgrades).

5.2 Accounts, sign-in and security

You may access the Platform with:

  • an email address and password; or
  • Google Sign-In / Sign-Up, in which case Google authenticates you and we verify Google’s ID token. We do not receive or store your Google password.

Self-registration always creates a Client user. Any other role (including Agent, Manager, government and service provider) is assigned afterwards by a Manager in our administration tools.

After registration, if your profile is not already linked to a company (for example because a Manager invited you to an existing company), you must complete company registration — either register a new company or select an existing one — before you can use the dashboard. If you signed up with Google and we do not yet have your phone number, you must provide it at that step.

Passwords. If your account has a local password, you must keep it confidential and not share it. Google-provisioned accounts have no local password until you set one via Forgot password. A new password must meet our password standard, currently 12 to 128 characters with an upper-case letter, a lower-case letter, a number and a special character, and must not repeat any of your last 12 passwords. You can change your password under Profile → Security. A password set before this standard that does not meet it continues to work until 1 January 2027; after that, signing in with it emails you a link to set a new password instead of signing you in.

Email verification codes. For Agent and Manager roles, a correct password or Google sign-in is not enough. We email a one-time code which you must enter before a session is created, unless the browser is already a trusted device (below). You must keep that code confidential.

Trusted devices. On the verification step you may choose not to be asked for a code on that browser for 14 days. Trust is stored as an httpOnly cookie bound to your user and organisation. Another browser, device or a cleared cookie jar will require a new code. A password reset revokes trusted devices for that user.

Failed sign-ins. After five incorrect passwords within 30 minutes, your account is locked for 30 minutes. Resetting your password unlocks it.

Sessions. We issue a short-lived access token and a refresh cookie. Logging in on a device ends other open sessions for that user, and changing your password ends your sessions on other devices. You are responsible for all activity under your account. Notify us immediately of any unauthorised use at support@easetech.co.za.

Email confirmation. Where we require email confirmation, you must confirm via the link we send before the account is fully active, unless Google has already asserted a verified email.

5.3 Eligibility and devices

You must be 18 or older (clause 2). You must ensure that your devices and internet connection meet any minimum specifications published from time to time (see the equivalent of Schedule D in a Master Agreement, or Website help pages).

The Website and Platform are not intended for children. See the Privacy Policy.

6. Permitted use and acceptable use

6.1 Permitted use

You may use the Website / Platform only for lawful purposes and for your internal business operations in relation to wayleave management, AOI-related workflows, and related activities.

6.2 Prohibited conduct

You must not (and must not allow anyone to):

  • copy, modify, adapt, translate, reverse-engineer, decompile, disassemble, or create derivative works of the Platform or any part thereof;
  • access or use the Platform to build a competing product or service;
  • sub-license, sell, rent, lease, loan, assign, distribute, display, host, outsource, disclose, or otherwise commercially exploit the Platform or any Outputs except as expressly permitted;
  • use any robot, spider, scraper or other automated means to access the Website / Platform for any purpose without our express written permission;
  • introduce viruses, malware or other harmful code, or attempt to gain unauthorised access to the Website / Platform or related systems;
  • circumvent or interfere with login, two-factor verification, session controls or other security measures;
  • use the Website / Platform in a manner that infringes any third-party rights or violates any law, by-law, permit or code.

7. User content and data responsibilities

7.1 Your inputs

You are solely responsible for supplying accurate, complete, current and properly formatted data and information to the Platform, including but not limited to:

  • account and company onboarding: name, email, phone, company name, address, company email, company phone, VAT number and registration number;
  • application details; accurate location and project site information; applicant and stakeholder details; supporting documentation; and any other information required for processing and submission of outgoing wayleave (or AOI) applications.

If you use Google Sign-Up, you are responsible for the Google Account you connect and for the email and name Google sends us.

7.2 Verification

You remain solely responsible for verifying the accuracy, completeness and suitability of all inputs and all Outputs generated by the Platform before relying on them or taking any action.

7.3 On-site activities

You are solely responsible for all on-site activities associated with any wayleave applications, including excavation, construction or installation works, and for ensuring compliance with all applicable laws, by-laws, permits, safety regulations, industry standards, and any conditions attached to wayleave approvals, whether imposed by you or any third-party authority. We have no responsibility for on-site works, supervision, compliance monitoring, or any non-compliance, delays, rejections, damages or losses arising from inaccuracies or omissions in submitted applications, procurement processes or regulatory adherence.

7.4 Adding stakeholders

Where the Platform suggests or lists stakeholders, authorities, utilities or interested parties for an Application, this is provided as an aid only. You are responsible for identifying, adding and engaging any additional stakeholders / authorities that may be necessary to the procurement process and for confirming all required approvals have been obtained.

7.5 Excavation caution

You must excavate with appropriate caution to mitigate risk and damages (including using hand excavation until underground services are identified and exposed, where applicable).

7.6 Other people’s information

Where you provide Personal Information of others (colleagues, applicants, landowners, officials), you warrant that you are authorised to do so and that any notices or consents required by POPIA have been given.

8. Outputs & reliance disclaimers (no professional advice)

8.1 Informational nature

All Outputs are generated based on your inputs, available datasets, heuristics and system logic and are provided for informational purposes only. Outputs do not constitute engineering, legal, surveying, safety or other professional advice.

8.2 No guarantee of completeness or accuracy

We do not warrant that Outputs (including any lists of authorities to be consulted, conditions or approvals) are complete, accurate, current or suitable for your purposes. You must independently verify all Outputs and obtain your own professional advice as needed.

8.3 Approvals remain your responsibility

All decisions, actions and works undertaken in reliance on the Website / Platform or Outputs are entirely at your own risk. You are solely responsible for securing all necessary permits, consents, approvals and stakeholder inputs and for adherence to all conditions.

9. Intellectual property

9.1 Our IP

The Website, Platform, software, Documentation, selection and arrangement of content, look and feel, and all related intellectual property rights are owned by or licensed to us. Except as expressly permitted, nothing in these Terms grants you any rights to or in patents, copyrights, database rights, trade secrets, trade names or trademarks.

9.2 Your data

As between you and us, you remain the owner of your data uploaded to or collected via the Platform. You grant us a non-exclusive, worldwide, royalty-free licence to host, copy, transmit, display, process and back up your data as reasonably necessary to provide the Services, to improve and secure the Platform, to use operators described in the Privacy Policy, and to comply with law.

9.3 Customisations

Any custom configurations, developments or modifications to the Platform (including those developed at your request) are and remain our property, unless expressly agreed otherwise in a signed Master Agreement.

10. Privacy & POPIA

10.1 Privacy Policy

We process Personal Information in accordance with POPIA and our Privacy Policy. That Policy explains what we collect (including via Google Sign-In), lawful bases, operators, retention, cookies and your rights.

By creating an account you agree to the Privacy Policy. Using or browsing the Website is not, by itself, consent to every processing activity described there. Processing that POPIA allows without consent (for example to perform a contract or for security) continues on those grounds. Where we rely on consent (including marketing), you may withdraw it as set out in the Privacy Policy.

You warrant that, where required, you have obtained all necessary consents and authorisations from data subjects whose information you submit.

10.2 Operators

We use third-party providers, including hosting, email, maps, analytics, CRM / communications and Google Sign-In. We require such providers, so far as we can impose it by contract, to process Personal Information in accordance with POPIA and only for the purposes for which it was collected. Named operators are listed in the Privacy Policy.

10.3 Security

We implement appropriate technical and organisational measures to protect Personal Information against unauthorised or unlawful processing and against accidental loss, destruction or damage, as described in the Privacy Policy. You remain responsible for the security of your own devices, email account and Google Account.

10.4 Cookies

We use cookies and similar technologies, including strictly necessary session and trusted-device cookies, and analytics tools. There is not yet a cookie-preference banner. Details, including what we store in the browser, are in the Privacy Policy (cookies section). Browser settings will not disable the httpOnly cookies required to keep you signed in. A standalone Cookie Policy may be published later; until then the Privacy Policy is the cookie notice these Terms refer to.

11. Third-party links and services

The Website / Platform may contain links to third-party websites or integrate third-party services. We provide these for convenience and do not endorse or control them. Your use of third-party sites / services is at your own risk and subject to their terms and policies.

Without limitation, the Platform and Website may use:

  • Google — Sign-In / Sign-Up; Tag Manager / measurement
  • HubSpot — CRM, registration forms, marketing lists, Website script
  • Mailgun — Transactional email (confirmation, password reset, login codes)
  • Mapbox — Maps, geocoding and drawing
  • FullStory — Product analytics / session replay
  • PayFast — Online payment of application fees (card details are entered on PayFast's own page)
  • Microsoft — Office Online viewer, which receives a Word, Excel or PowerPoint document when you preview it in the Platform
  • Calendly — Booking widget on the marketing Website
  • DigitalOcean — Hosting of the Website, Platform, databases, file storage and backups (Amsterdam, the Netherlands)

Google Sign-In is also subject to Google’s terms and Google’s Privacy Policy. Map features are subject to Mapbox’s terms.

Completing registration currently results in a HubSpot contact record. Marketing opt-out is described in the Privacy Policy; it does not cancel these Terms or your account.

12. Disclaimers & warranties

12.1 No warranties

To the maximum extent permitted by law, the Website / Platform and all content and Outputs are provided “as is” and “as available”, without any warranties of any kind, whether express, implied, statutory or otherwise, including warranties of fitness for a particular purpose, merchantability, accuracy, completeness, non-infringement, or uninterrupted / secure operation.

12.2 Beta features

Certain features may be offered as alpha / beta / preview. They may be changed or withdrawn at any time and are used at your own risk.

13. Limitation of liability

13.1 Wayleave activities excluded

We shall not be liable in any way for wayleave activities, including but not limited to excavation, construction or any on-site works.

13.2 Indirect loss excluded

To the fullest extent permitted by law, we shall not be liable for any: loss of profits, revenue, goodwill, savings, business, data, or any indirect, special, incidental, punitive or consequential damages, whether arising under contract, delict (including negligence), statute or otherwise.

13.3 Cap

Subject to clause 13.4, our aggregate liability for any and all claims arising out of or in connection with these Terms, the Website / Platform or the Services shall not exceed the greater of: (a) the total fees (if any) paid by you to us for access to the Platform in the twelve (12) months preceding the event giving rise to the liability, or (b) R50,000.

13.4 Non-excludable liability

Nothing in these Terms limits or excludes liability that cannot be limited or excluded under applicable law.

13.5 Your responsibility

Without limiting the foregoing, you are solely responsible for verifying all Outputs, obtaining all necessary approvals, and complying with all applicable conditions, permits and regulatory requirements.

14. Indemnity

You agree to indemnify, defend and hold harmless the Service Provider and its directors, officers, employees and agents from and against any and all claims, demands, actions, proceedings, losses, damages, penalties, fines, costs and expenses (including reasonable attorneys’ fees) arising out of or in connection with: (a) your use of the Website / Platform or Outputs other than in strict accordance with these Terms; (b) any data or content you provide; (c) your on-site activities and works; (d) your breach of law or third-party rights; or (e) your failure to obtain and adhere to required approvals or conditions.

15. Suspension, termination and account closure

15.1 Our rights

We may suspend or terminate your access to the Website / Platform immediately without notice if: (a) you breach these Terms or applicable law; (b) we reasonably suspect fraudulent or abusive activity; (c) we block the account for security or operational reasons; or (d) required for maintenance, security, legal or regulatory reasons.

15.2 Your request to close an account

You may ask us to close your user account by emailing support@easetech.co.za from the email address on the account, stating the organisation / portal. We will disable login where reasonably practicable. Application, company and audit records may be retained as required by your organisation’s contract, law or the Privacy Policy. Revoking Google access in your Google Account does not by itself close the Easetech account.

15.3 Effect of termination

Upon termination, your right to use the Platform ceases, but clauses which by their nature should survive (including 7–14, 17–22) will continue in effect.

16. Fees (if applicable to your use)

Where your use of the Platform involves paid access or subscriptions, the applicable fees, billing frequency and payment terms will be as stated on the Website at checkout or as set out in a Master Agreement. Unless otherwise stated, fees are exclusive of VAT and payable in advance, non-cancellable and non-refundable, except as expressly provided in a Master Agreement.

17. Force majeure

Neither party will be liable for any delay or failure to perform due to events beyond its reasonable control (including strikes, lock-outs, labour disputes, acts of God, war, riot, civil commotion, malicious damage, compliance with law, accident, fire, flood, storm, interruption of power / telecommunications or hosting services), provided the affected party notifies the other within 7 days and uses reasonable efforts to mitigate. If such event continues for 60 days, either party may terminate on written notice.

18. Governing law & dispute resolution

These Terms are governed by and construed in accordance with the laws of South Africa. Any dispute, controversy or claim arising out of or relating to these Terms shall be finally resolved by arbitration administered by the Chartered Institute of Arbitrators (CIArb) in accordance with the CIArb Rules by a sole arbitrator appointed by CIArb. The seat / place of arbitration shall be Johannesburg, South Africa, and the language shall be English. Nothing prevents a party from seeking urgent interim relief in a court of competent jurisdiction.

19. Notices

Notices to us must be sent to support@easetech.co.za. Notices to you may be sent to the email address associated with your account (including the email Google provides if you registered with Google) or posted on the Platform. Notices are deemed received when delivered (or, if posted on the Platform, when first made available).

20. Assignment

You may not assign, transfer or sub-license your rights or obligations under these Terms without our prior written consent. We may assign or transfer our rights and obligations under these Terms to an affiliate company or in connection with a merger, acquisition or sale of assets, upon notice to you.

21. Severability; waiver; entire agreement

If any provision of these Terms is held invalid, illegal or unenforceable, that provision will be enforced to the maximum extent permissible and the remaining provisions will remain in full force and effect. A failure or delay by us in enforcing any right or remedy is not a waiver. These Terms (together with any Master Agreement and policies referenced herein, including the Privacy Policy) constitute the entire agreement between you and us in relation to the Website / Platform.

22. Contact & complaints

We aim to resolve complaints quickly and fairly. Please contact support@easetech.co.za and include your account details (email and organisation / portal), a description of the issue, and any supporting materials. If unresolved, you may seek redress via the arbitration process in clause 18.

Privacy complaints may also be directed as set out in the Privacy Policy, including to the Information Regulator where applicable.

  • Verify site conditions and underground services before excavating or commencing works.
  • Ensure all relevant services, stakeholders, authorities and interested parties have been identified, engaged, and have provided input / approvals.
  • Add any missing parties to the procurement process; do not rely solely on Platform suggestions.

  • Excavate with caution to mitigate risks and damages (including using hand excavation until services are identified).
  • Maintain accurate records, evidence and audit trails of submissions, communications, decisions and approvals.
